Write for the power structure you are actually in

Separate the work behavior from assumptions about motive. Name the deliverable, decision, meeting behavior, or missed handoff and the impact on shared work.

If feedback could expose you to retaliation or discrimination, preserve appropriate records and use qualified workplace, union, or legal resources rather than relying on a message template.

Questions

Should I make the message softer?

Make it respectful and specific, not vague. Excessive softening can hide the request and make the same conflict return.

What if the person is my manager?

Use factual impact and a workable request. Consider internal policy and confidential support when the issue involves retaliation, harassment, or discrimination.
